What we collect and why
When you submit an inquiry, we collect your name, email, project role, selected designs and quantities, and any postal code, timing or notes you provide. We keep a submission reference, date, acknowledgement and a one-way submission fingerprint to recognize retries. Our protected owner workspace records review notes, status changes and the staff actor responsible for updates. We use this information to assess your project, prepare a quote, respond and maintain a reliable inquiry record.
Hosting and security services process request information needed to serve the site and limit abuse. Inquiry availability checks do not include your contact details or project notes. There are no advertising trackers or public customer accounts on this site. The private owner workspace uses an authentication cookie.
Our basis for using information
We use inquiry details to take steps you request before entering a contract. Our legitimate interests in answering correspondence, maintaining records and protecting the service support necessary administration and security processing. We may retain information where a legal obligation requires it. If a use requires consent, we will ask separately; submitting a project inquiry does not subscribe you to marketing.
Storage on your device
The localStorage key sound-oak-board keeps your saved designs and selections in this browser until you remove them, use Clear my board on your saved board, or clear site data. The localStorage key sound-oak-motion keeps your motion preference. These do not create an account or synchronize between devices.
The sessionStorage key sound-oak-project-session keeps project notes and the generated width-study text used to update those notes. The key sound-oak-planner-session keeps the planner model, cabinet width, wall measurement, placement and offset. These survive reloads within a browser tab. Private owner note drafts use sessionStorage keys beginning sound-oak-admin-draft:. These temporary drafts normally clear when the tab session ends, although browser session restoration can restore them. Clear the site's stored data to remove them yourself. Session keys beginning sound-oak-inquiry-draft: keep unsent contact and project text, selected quantities and prepared email text in this browser tab for up to 12 hours of inactivity. They are cleared after a confirmed submission. They exclude file contents, upload proofs, security tokens, acknowledgement and payment data. A pending submission reference may be retained so we can check an interrupted submission before it is sent again. Drafts do not sync between devices; clear site data to remove them yourself. Submitting an inquiry sends the project information to us; clearing browser storage does not delete an already submitted inquiry.
Service providers
Netlify provides hosting and private storage for submitted inquiries and attachments. Records are available through our protected owner workspace. Inquiry correspondence, owner alerts and customer confirmations are delivered through Resend, Inc. (United States), which processes the recipient address and message content to send the email; saving an inquiry does not by itself prove that an email was delivered.
Stripe processes secure card checkout and payment information. We send the accepted quote reference, amount and contact details needed for checkout. Stripe handles card details; our site receives payment status and identifiers to reconcile the quote, issue confirmations and manage refunds. Please enter card information only in secure checkout. Stripe may process information outside your location.
If configured, Cloudflare Turnstile processes security information to check submissions, and Sentry receives limited technical error reports. These optional integrations stay off until configured. We do not sell inquiry information. Service providers handle information for the functions described here and may process it outside your location.
When you open the 3D model, your browser requests the pinned three.js library from cdnjs, operated by Cloudflare. This sends your IP address and normal browser request information to that provider. The 2D drawing runs locally without that request.
How long we keep it
We keep inquiry personal information for 24 months after our last contact with you, then delete or redact it, unless an order, a legal obligation or a dispute requires longer. Redaction replaces contact and project text and removes personal text from stored review history; a minimal inquiry reference, product selections, dates and retry fingerprint remain for record integrity. Email correspondence, provider logs and separately exported backups must also be reviewed when fulfilling a deletion request. Records required for an order, legal obligation or dispute may need a different retention period.
Your choices and rights
Contact hello@soundandoak.com to ask for access, correction or deletion, or to object to or restrict processing. Depending on the law that applies to you, you may also request a portable copy, withdraw consent for consent-based processing or complain to the relevant privacy authority. Include your inquiry reference if available; we may ask for enough information to verify the request. We explain any information we must retain and why.
Email and sensitive information
Preparing an email draft does not send it. Opening your email app transfers it to the app you choose; copying places it on your clipboard. You decide whether to send it. Please do not include payment card details, passwords, government IDs, health information or other sensitive personal data in a project brief.
Product and room imagery
The collection includes reference product images and AI-created room or material studies. Room imagery is illustrative. Countertops, sinks, faucets and styling are not included with a cabinet. Screen colors and drawings do not establish final dimensions, materials or manufacturing approval. An inquiry is not an order or a confirmed quotation.
